Privacy Policy

This Privacy Policy explains how Schedulera ("we", "us", or "our") collects, uses, and protects information about you when you use our scheduling service at schedulera.com (the "Service"). By using the Service, you agree to the practices described in this policy.

Information We Collect

When you create an account, we collect your name and email address. If you sign in with Google, we also receive your Google profile picture and a unique identifier from Google.

When you connect Google Calendar or Microsoft Calendar (Outlook/Teams), we access only the data necessary to check availability and create, update, or cancel booking events — narrow scopes limited to your events and free/busy status. We do not read, store, or share the rest of your calendar.

When you connect Google Contacts or Microsoft Contacts, we import contact names and email addresses on a read-only basis to help you create bookings. We never modify or delete your contacts.

When you connect Gmail or Microsoft Teams, we access email or meeting data only as needed to send booking-related messages and, if you use our AI assistant features, to read and draft replies on scheduling-related threads.

If you or your guests opt into SMS reminders, we collect and store phone numbers, verified by one-time passcode, and use them solely to send booking-related text messages via our SMS provider.

When a guest books time with you, we collect their name, email address, any notes they provide, and their phone number if they opt into SMS reminders. This information is used solely to create the calendar event and send booking confirmations and reminders.

When someone reaches your booking page through a tracked link (for example a referral or campaign link), we store the link's UTM parameters in a first-party cookie for up to 30 days so that, if they book, you can see which source the booking came from.

We automatically collect standard server logs including your IP address, browser type, and pages visited. This data is used to operate and improve the service.

How We Use Your Information

To provide the core scheduling service — creating booking pages, checking availability, and confirming appointments.

To send transactional emails and texts such as booking confirmations, reminders, and account notifications. You cannot opt out of transactional messages while your account is active.

To power optional AI-assisted features — drafting replies to guest messages, summarizing sessions, and reasoning about reschedule or cancellation requests. These features send the relevant booking, calendar, or message content to our AI processing provider for that purpose. On connected messaging channels (email, SMS, or similar), the AI may reply to your guests directly on scheduling-related threads unless you disconnect that channel.

To run automated workflows you configure, which may read your booking, calendar, or contact data and take the actions you've set up, such as sending emails or creating meetings.

To improve and develop the service. We may analyze usage patterns in aggregate to understand how features are used, including which acquisition sources lead to bookings.

We do not sell, rent, or share your personal information with third parties for their own marketing purposes.

Data Storage and Security

Your data is stored on servers located in the United States. If you are located outside the United States, your data will be transferred to and processed in the United States.

We use industry-standard encryption (TLS) to protect data in transit. OAuth tokens used to connect your calendar are encrypted at rest.

We retain your account data for as long as your account is active. If you delete your account, we will delete your personal data within 30 days, except where we are required by law to retain it.

Third-Party Services

We use the Google Calendar API, Google People API (Contacts), and Gmail API to provide calendar sync, contact import, and email features. Your use of Google services is subject to Google's Privacy Policy.

We use the Microsoft Graph API to provide Outlook Calendar, Microsoft Teams, and Microsoft Contacts sync. Your use of Microsoft services is subject to Microsoft's Privacy Statement.

We use Twilio to deliver SMS reminders and notifications. Phone numbers and message content pass through Twilio solely to deliver these messages.

We use Anthropic's Claude models to power AI-assisted features such as drafting guest replies, summarizing sessions, and reasoning about reschedule or cancellation requests. Relevant booking, calendar, or message content is sent to Anthropic for this processing, subject to Anthropic's Privacy Policy.

We use third-party infrastructure providers (including database hosting and cloud compute) to operate the service. These providers process your data only as necessary to provide their services to us.

Our service may contain links to third-party websites. We are not responsible for the privacy practices of those websites.

Your Rights

You may access, update, or delete your personal information at any time through your account settings.

You may disconnect Google Calendar, Google Contacts, Gmail, or Microsoft integrations independently at any time, which revokes our access to that specific data. Disconnecting a messaging channel also stops AI-assisted replies on that channel.

You may pause or delete any automated workflow you've configured at any time.

You may request a copy of all personal data we hold about you by contacting us at privacy@schedulera.com.

If you are located in the European Economic Area, you have additional rights under the GDPR, including the right to data portability and the right to lodge a complaint with a supervisory authority.

Cookies

We use session cookies to keep you signed in. These cookies are strictly necessary for the service to function.

If you have a booking page, we use a first-party cookie (sch_utm) to remember the UTM parameters of the link a visitor used to reach your page, for up to 30 days, so that a resulting booking can be attributed to that source. This cookie is not shared with advertising networks.

We do not use third-party advertising or analytics cookies that track you across other websites.

Children's Privacy

The service is not directed at children under 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us and we will delete it promptly.

Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the date at the top of this page and, for material changes, notify you by email or by a prominent notice on the service.

Your continued use of the service after any changes constitutes your acceptance of the updated policy.
